To prepare for your arrival, we advise you to read the instructions carefully. The immigration process will be smoother if you have followed the process correctly and made sure that all documents are correct.
Moving to a new country has several different aspects to consider. Mandatory immigration formalities is one thing, but there are also a number of issues that are good to take care of prior to your arrival in order to make things smoother after your arrival.
Right after arrival, there are a few important steps to take. this section provides information on local registration (DVV), tax card, social security, and other necessary formalities.
As a foreign resident, most authorities require an in-person visit the first time. After that, most matters can be managed online using strong electronic identification credentials.
We recommend completing these steps in the order listed, but please read each section carefully—some processes may have exceptions or can be done at the same time.
NOTE: Your employment contract and salary payments cannot begin until you have arrived in Finland.
The university must ensure that non-Finnish employees have a valid residence permit before processing salary payments. Once you receive your residence permit, please send a copy of your passport and residence permit card to hr@oulu.fi. Also, inform HR each time your permit is renewed.

Grant itself does not constitute employment and the grant recipient without a work contract, is not entitled to employment-related insurance, non-legislative occupational health care services such as treatment of sicknesses and other benefits based on employment contract, or employment legislation on collective agreement.
We have gathered here some information on the most important topics that impact our researchers that are not in an employment relationship with the University of Oulu as well as information on the grant researchers' possibility to have a part-time work contract.
Part-time work contract for Grant researcher
Grant researchers are a valuable part of the University community, who produce considerable amount of the University results using funding they have personally achieved. At the University of Oulu, whenever possible, a work contract with a minimum of 10% share of part-time duties shall be made with the grant researcher.
With the part-time employment contract, the person is eligible for the occupational health care, insurance, staff discount on lunches and the wellness benefit (Epassi).
If you, as a grant researcher, meet the below-mentioned criteria for making the part-time employment contract, please contact the person who could work as your line manager at the University of Oulu, and then fill in the part-time employment application for grant researchers in our recruitment system.
- There is a positive decision regarding the grant.
- The length of the grant is 6 months or more. The term can consist of several different grants granted by an outside operator.
- Grant researcher carries out their research full-time and the grant enables full-time research activities.
- The grant is received from some other operator than University of Oulu or The University of Oulu Scholarship Foundation.
- The grant researcher has made sure that the terms of the grant allow for a simultaneous employment.
- Grant researcher has a right to study for a doctoral degree at the University of Oulu or the post doc researcher's research is related to other research conducted at the University of Oulu
- Grant researcher works and resides in Finland.
