Erasmus+ traineeship grant

The University of Oulu participates in the European Union’s Erasmus+ -programme that supports students’ traineeship opportunities in the EU member states and in certain other associated countries in Europe. If you are planning on a traineeship in Europe, Erasmus+ traineeship grant is a very likely option for you. The grant is applicable throughout the year, subject to the availability of the funding.   

Eligibility

Erasmus+ traineeship grant may be applied for the traineeships in all EU Member States and in the following countries associated to the programme: Norway, Iceland, Liechtenstein, Northern Macedonia, Serbia, Switzerland, Turkey and the UK. Traineeships in Finland are ruled out as the University of Oulu is the sending organisation.

Through Erasmus+, you have the opportunity for:

  • Long-term traineeship (minimum duration of the traineeship agreement 60 days).
  • Short-term blended traineeship (duration of 5-30 days, with a compulsory virtual component of at least one day before or after the physical traineeship).

The virtual component in the short-term blended traineeship should be a minimum of one day/few hours collaborative working before or after your traineeship facilitated by the employer, where you participate remotely from Finland. The component may include for example online tutoring for the new work tasks and culture.

If your traineeship is in Europe but, for some reason, is not eligible for Erasmus+ support, please see the option of UniOulu International Traineeship grant.

Erasmus+ Traineeship grant

Erasmus+ programme countries are divided into two groups. Your destination country and the duration of your traineeship determine the exact amount of your grant. The days exceeding whole calendar months are supported with the daily grant amount. The total grant consists of a monthly/daily grant (automatically including two funded travel days) and a separate travel support. Keep in mind that if you are already at the destination or you travel on a day when your programme/studies start, you might not be eligible for the two funded travel days and/or the travel support.

For long-term Erasmus+ traineeships, the grant amount for the AY 2024/2025 is:

Please note that in AY 2024/25 you may receive Erasmus+ traineeship grant for the maximum of six months, even though your actual traineeship would be longer.

The grant for short-term blended traineeship is €79 per day (for the first 14 days) and €56 per day (days 15–30). Grant is paid only for the traineeship part at site in the host country, not for the virtual part. In AY 2024/25 you may receive the short-term traineeship grant for the maximum of 15 days (+ travel days), even though your actual stay would be longer.

In addition to monthly grants, all Erasmus+ students receive travel support based on the distance between Oulu and the destination (see the table below). The distance is calculated using the Erasmus+ distance calculator and the final travel grant is always calculated in the International Mobility Services.

The Erasmus+ programme aims at being accessible for students from all backgrounds and circumstances. Hence the participants with fewer opportunities in mobility may apply for additional funding on top of the basic monthly grant. You may apply for additional funding, if you:

  • have family (underage children)
  • are a family carer
  • have disabilities
  • have received international protection or
  • suffer from a severe or chronic health condition.

The grant is always paid in two parts: 80 % at the beginning of the traineeship and the remaining 20 % after the traineeship is completed and reported accordingly.  

The grants are applicable throughout the whole year. The amount of grants per year is limited and the applications can be accepted as long as the funding allows. No grants are awarded for the completed traineeships or the traineeships that have already started before the submission of the SoleGRANT application.  

Grant requirements

You may apply for the Erasmus+ traineeship grant if:  

  • Your traineeship takes place in a country eligible for Erasmus+ traineeship grant and the traineeship duration meets the minimum length requirement. 
  • The host institution is not a private person or an EU institution, body or agency.
  • The traineeship is a part of your degree studies and approved by your degree programme. 
  • The traineeship is full-time (min. 30 working hours per week). 
  • In a long-term traineeship you'll receive min. 5 ECTS/ 2-3 months' traineeship and min. 2,5 ECTS/month in the traineeships longer than three months.
  • In a short-term blended traineeship you'll receive min. 3 ECTS credits/traineeship.
  • You are enrolled present in the University of Oulu for the entire traineeship time and you have a permanent address in Finland before departing overseas. 
  • Up to three Oulu University students may work and receive the grant simultaneously for the same employer.
  • You do not receive salary or other funding from the University of Oulu or any other instance for the time of your traineeship, excluding the possible pay from the employing organisation. 
  • You submit your traineeship application on time; no grants are awarded for the completed traineeships or the traineeships that have already started before the submission of the SoleGRANT application. 
  • Your traineeship ends and is reported before your official graduation from UniOulu i.e. no grants will be paid for a graduated student.
  • The planned traineeship must be part of the standard duration of the degree studies, grants are not paid for the extended study right time.

Please note! You can complete several Erasmus+ exchanges (study or traineeship) in each study level (bachelor/master/doctoral) up to maximum of 12 months in total. Travel green

Erasmus+ programme supports travelling green. Environmentally friendly modes of transportation include train, bus, bike, or carpooling. If you complete your journey to the destination or at least one leg of your round-trip is environmentally friendly, you are eligible for a higher travel grant for green travel (see the table below). Additionally, you may qualify for Erasmus+ grant for up to six actual travel days. While green travel requires more time and planning, it also offers an opportunity to turn your exchange into an adventure.

How to apply

Traineeship agreement 

Before proceeding to the traineeship and grant application, you must prepare the official traineeship agreement: Erassmus + Learning agreement for traineeships. The agreement is a three-party agreement and it must be signed by the teacher responsible for your traineeship, the representative of your traineeship organisation and you. Scanned and electronically signed documents are also accepted. 

Each traineeship type has its own traineeship agreement template. Make sure to use the correct template for the UniOulu international traineeship. The templates are available on the website for Students: Forms.

SoleMOVE traineeship application  

Once you have a fully completed traineeship agreement with all the necessary signatures, proceed to submit your traineeship application through the SoleMOVE online application system. Start by selecting ‘Application for outgoing student mobility’ and then choose the correct application period: Erasmus+ traineeships 2024-25 (traineeships starting 1.6.2024 and onwards). Attach the traineeship agreement to your online application.

Please be aware that these instructions also apply to the short-term blended traineeships. Avoid using the SoleMOVE application option for short student mobility under any circumstances.

SoleGRANT application 

Once your traineeship application has been reviewed, you will receive the final decision via email. If your application is accepted, the email will also include instructions on confirming your traineeship offer within SoleMOVE and applying for the grant through the UniOulu SoleGRANT grant application system.

After completing your traineeship, you will need to complete certain reporting. This reporting is also a prerequisite for receiving the grant payment. For detailed information on reporting, please refer to the main website for traineeships abroad.
