Registration

If you have not used Eduuni services before, you need to register your university's email address as an Eduuni-ID.

Read step-by-step instructions of registration process. Use this link to register, but first pay attention to the following matters:

Email address = Eduuni-ID

• At the registration stage the service will ask your "work email address". Use the email address of the staff or O365 service of the University of Oulu in its long form:
  • Staff: firstname.lastname@oulu.fi
  • Students: firstname.lastname@student.oulu.fi
• If needed, you can change your Eduuni email address according to these instructions.
• After the registration you are identified in the service on the basis of your Eduuni-ID which is the same as your email address.
• Eduuni-ID will be valid for one year after which you need to confirm your email address again.
• However, Eduuni-ID is not necessarily the login name of the service because you can choose the sign-in method yourself.

Sign-in methods

• In registration you first choose, which will be your sign-in method. The method will be attached to your Eduuni-ID, and it will determine which combination of username and password you will use when log in the Eduuni services.

• If you choose the alternative "University of Oulu", you log in with the university user account and its password. If you choose some other sign-in way, use the username and password combination of the service concerned. The trusted login methods are:

  • The organisation's own credentials, if the organisation is a Haka or Virtu or eduGAIN identity federation member or if the organisation is using Microsoft Office 365 (Azure AD) services
  • Google, Microsoft, Facebook, LinkedIn, Twitter and Yahoo! credentials
• You can change your current sign-in method according to these instructions.

Login to the service

• If you chose "University of Oulu" as your sign-in method, use your university user account in its basic form and its password in Shibboleth window to log in Eduuni.
• If you chose some other sign-in method, use the username and password combination of the service concerned.

Eduuni workspaces

The workspaces could be found in the address https://tt.Eduuni.fi/SitePages/Home.aspx.

NOTE! It is a good idea to create new videos in Panopto immediately. Those created in YuJa after 15 February are not transferred to Panopto by the service providers; the transfer is the responsibility of the user himself.

YuJa is a media management system for the use of the staff and students of University of Oulu and Oamk. It is a cloud service used through a browser and has been meant for storing, editing and distribution of media files, especially videos.

Use the service through browser, Moodle or mobile application:

• Log in to the service with your university username and its password at https://oulu.yuja.com.
• It is recommended that you use YuJa through Moodle, in that case a separate login is not needed.
• YuJa is available also as a mobile application.

Instructions:

• Check out: Adding a video to Moodle from YuJa (ict.oulu.fi)
• As a student you may use YuJa only for your studies, and as a staff member only in connection to the assignments. Please reread the Rules of use.
• Watch YuJa's introductory video on YouTube. Note: At the end of the video the video meeting presented (in section 2:28) is not part of our acquisition, which means that we will continue to use Zoom and Teams for video meetings.

About YuJa:

1. In YuJa, you can store and edit your media files. You can also create automatic captions for your videos.

• You can save all your study related media files (= videos and audio files) to YuJa, where you can also manage the distribution.
• YuJa has its own browser-based editor for video editing.
• You can make capture videos which are then saved directly to the service. You also can choose a camera as a picture source and a microphone or a computer as a voice source. Load the Software Capture application into your computer, you find the loading link in YuJa's Create Recording function when you are logged in.
• In addition, the service offers automatic captions (even in Finnish). You don't need a separate app for creating and editing the captions. In addition, YuJa automatically creates a transcript for media files (a transcript here means a file with the captions, that can be viewed with or without time stamps). You can edit the captions afterwards.

2. YuJa offers both students and staff versatile opportunities to distribute content - and the content can also be accessed through Moodle.

• In YuJa, you can define if the video is public or private, and you can define the exact audience yourself.
• You can log in to YuJa with your university username and password at https://oulu.yuja.com.
• YuJa is integrated to our Moodle, and to be able to see videos shared to you by your teacher, all you have to do, is to log into Moodle. To share your own content, you need to have editing rights.
• YuJa is intended for both staff and students.

3. Please remember your responsibilities regarding data protection and accessibility.

• When used correctly, YuJa as a platform meets the legal requirements related to data protection (GDPR) and accessibility. YuJa is responsible for the user interface of the service, while we are responsible for the content of the service.
• We are YuJa's first customer in the EU, and our data is located in the EU in the AWS cloud service.
• However, content classified as secret, should never be added to YuJa.

Remember the copyright and data protection of the materials you share:

When adding videos to YuJa, please make sure that the copyright is in order, i. e. either:

• you own the copyrights yourself,
• the license for the material permits distribution, or
• you have a separate (written) permission from the copyright owner to distribute the material.

From a data protection perspective, you can upload material to YuJa that is either

• public, or
• internal material, with a certain, restricted audience.

If you upload internal material (i.e. material meant for a restricted audience) to the service, you are responsible for the settings for restricting the audience. You have to make sure only the target audience has access to the material in Yuja, when they are logged in. This means that the material cannot be accessed with just a link, without logging in first. The user of the material must be logged in to the service either through Moodle or directly from YuJa's website. If you add a video to a Moodle course, the permissions are determined already there: the audience is then the participants of the Moodle course. Also, make sure that the people featured in the videos are aware of the video and its distribution (such as where the video is shared and for what purpose, how long the video will be stored and who has can watch the video).
