Passive teams become expired

If you are the owner of a team in Microsoft Teams, you have the responsibility to manage the team and its members, as well as to renew the team. By default, a team is valid for 1 year from establishment if not actively used or renewed. The owner can change the permissions of members and guests in the team settings, as well as the channel management settings to specify who can publish messages.

Did you receive a notification that your team is becoming obsolete:

  • If there is a red expiration icon next to the team name, it will expire in less than 30 days. Go to the team name and choose More options …> Renew now.

Or maybe you just want to know if your team has an expiration date:

  • In other cases, you can either select a notification for team renewal or go to team settings. Go to the team name and choose More options …> Manage team. Then choose Settings > Team expiration. There you can just check the team's expiration date and, if necessary, renew it by Renew now.

Administrators can assign an expiration time to a team. Any passive groups that reach the end of that period and are not renewed will be removed. This also includes archived teams. A notice is automatically sent to the team owners before expiration, allowing them to renew the team.

As the team gets older, almost all related services (such as a mailbox, Planner, SharePoint site, or group) are removed. However, the team is removed "softly", meaning it can be restored for up to 30 days.

Active groups are automatically renewed approximately 35 days before the group expires. In this case, the owner does not receive re-notifications. Any of the following automatically renews the group:

  • SharePoint: View, edit, upload, move, share, or upload files. (Viewing a SharePoint page does not count as an auto-renewal function.)
  • Outlook: Join a group or edit a group, read or write a group message about the group and like the message (Outlook online version).
  • Teams: Visit the Teams channel.
  • Viva Engage: View a message in the Viva Engage community or interactive email in Outlook.
  • Forms: view, create, or edit forms, or send a response to the form.
